We Are Seeking Office Manager

We are seeking an experienced and proactive Office Manager to oversee and optimise the day-to-day operations of our remote inspection team.

The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple tasks to ensure seamless service delivery.

Office Manager Role

This role is crucial in maintaining operational efficiency, ensuring compliance, and supporting the overall growth of the company. Additionally, experience with bookkeeping and QuickBooks is essential.

KEY RESPONSIBILITIES

  1. Operational Management
  • Manage inbox/Calander for managing director.
  • Develop and implement operational processes to enhance efficiency and productivity.
  • Monitor and ensure compliance with industry regulations and standards.
  • Oversee the logistical aspects of remote operations, including communication tools and document management.
  1. Team Coordination
  •    Facilitate communication and collaboration among team members.
  • Support the Lead Inspector in training and mentoring junior inspectors.
  • Organize and conduct regular team meetings to review performance and address any issues.
  1. Quality Assurance
  • Implement and maintain quality control procedures to ensure high standards in inspection reports.
  • Review inspection reports for accuracy and completeness before they are delivered to clients.
  1. Client Relations
  • Work closely with the admin assistant to address client inquiries and resolve any service issues.
  • Ensure that client feedback is incorporated into operational improvements.
  1. Bookkeeping and Financial Management
  • Manage bookkeeping tasks including invoicing, accounts payable, and accounts receivable.
  • Utilize QuickBooks for financial tracking, reporting, and reconciliation.
  • Prepare financial reports and assist with budgeting and forecasting.
  1. Reporting and Analysis
  • Track and analyze key performance metrics to identify areas for improvement.
  • Prepare regular reports for the CEO on operational performance and project progress.

 

QUALIFICATIONS

  • Proven experience in office management, preferably in the property or real estate industry.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Ability to manage a remote team effectively.
  • Proficiency in using CRM and communication tools (e.g., Zoho, Office, Teams, etc).
  • Experience with bookkeeping and proficiency in QuickBooks.
  • Familiarity with industry regulations and standards.
  • Problem-solving mindset with a proactive approach to identifying and addressing issues.
  • Bachelor’s degree in Business Administration, Management, Accounting, or a related field is preferred.
